Reading Room Events Guide

This guide provides helpful information related to hosting events in the Reading Room.

HCHB Services & Contacts

The door at the corner of 15th and Penn can be opened for a fee to facilitate easier access to the Reading Room for non-HCHB staff and members of the public. This eliminates the need for additional support staff to accompany guests to and from the main entrance on 14th Street.

The cost of staffing the entrance with the required security guards is approximately $120 per hour. Program offices should coordinate directly with Security to confirm the details.

To request guard services, please email security@doc.gov and CC research@doc.gov.

Program offices should email slanguage@doc.gov to request American Sign Language interpreting services.

Ensure the space is left in good condition for other library users. The library has an in-house vacuum available to remove crumbs or other small messes. If food and beverages were served, please call CHIMES after your event to have the trash cans emptied of food debris.

There are two primary considerations when Foreign Nationals will be in attendance. The program hosting the event is responsible for ensuring the proper clearances have been authorized.

Cybersecurity:

OS-OCIO should be notified as soon as possible to determine potential technological impacts for the event, such as turning off the WiFi in the Reading Room.

Physical Security:

For access coordination, sponsors of foreign national visitors are required to contact the Security Service Center (SSC) at least 24 hours prior to arrival.

Employer sponsors of foreign national visitors must complete the Foreign National Visitor and Guest Departmental Sponsor Briefing (Commerce personnel only), sign the acknowledgment page at the end of the briefing, and email it to security@doc.gov. Sponsors must also provide the personal information of their foreign national visitors by using the Foreign National Request Form (Commerce personnel only) and sending it by email to security@doc.gov or delivering it by hand to the SSC. Please visit the Office of Security's Foreign Access Management webpage for more information.

If the Reading Room is unavailable for your event, please check the OFEQ Self-Service Portal to reserve the Auditorium, Conference Rooms, Courtyard, or Lobby as alternative spaces in HCHB that may meet your needs.

Email OFEQ-Movers@doc.gov to request moving services if your event has a complex setup/take down (stage, pipe and drape, fireside chat chairs); the program office must have a representative present during the setup to provide direction. The library's tables and chairs are relatively lightweight and have wheels; most setups can be done without the Movers.

When requesting moving services, be sure to provide the desired date and time for set up and a description of what needs to be done. Don't forget to schedule a takedown as well.

Moving services are available between the hours of 8 a.m. and 4 p.m.

When requesting moving services, please CC research@doc.gov for awareness and to ensure there is no conflict with other groups using the space, especially if your setup occurs the afternoon before your event.

Guest Wi-Fi
If your event participants do not work in the building and would like to access Wi-Fi, they may do so in the library through the DoC_Guest_Portal.

Commerce Staff
If your bureau is stationed in Commerce HQ, your Government Furnished Equipment should connect to the Wi-Fi automatically.
ITA Staff: If your Government Furnished Equipment does not connect to the Wi-Fi automatically, select Hidden Network from Wi-Fi Settings and they type in ITA_WIFI.
