This guide provides helpful information related to hosting events in the Reading Room.

Room Configurations

The Reading Room accommodates presentations and meetings ranging from small advisory boards to an audience of 110 standing. With hybrid capabilities, virtual attendees can easily participate.

Available Amenities:

  • Tables: Five 8'x2' and ten 6'x2' tables on wheels (optional black tablecloths).
  • Chairs: Black chairs on wheeled pallets.
  • Armchairs: Elegant armchairs for fireside chat presentations.
  • Podium: A podium with a small monitor.

Other Planning Considerations:

  • Refreshments Table: Often set up by the Hoover desk or near the door to the Business Library.
  • Registration Table: Located by the Hoovers desk or in the 15th Street lobby if the door is being opened to the public.
  • Transcribers/Translators Space: Designated areas available.
  • Flags: The US and Commerce flags are standard, with a third flagpole available for additional flags.

Setup Styles

Boardroom Style

Capacity varies depending on setup.

Ideal for advisory boards, trainings, or committee meetings. This setup can accommodate up to 40 people at the library's tables. Additional backbench seating for staff can fit in the alcoves, and gallery seating allows for a small in-person audience.

Theater Style

Capacity - Approximately 88

Perfect for presentations or panels. This setup can accommodate rows of 6-7 chairs and can be configured with or without the stage.

Staging

The modular staging can be arranged in a few shapes, but a 6' by 15' rectangle is the most common. This setup fits well within the room's layout, allowing for a podium, armchairs for a fireside chat, or a panel at a table.
